QuickBooks Merchant Services offers retail stores and restaurants a variety of ways to conduct credit card transactions:
- If your PC (with QuickBooks on it) is located at the point of sale, use QuickBooks Merchant Service for PCs. A card reader must be connected to your PC in order to swipe credit cards.
- For swiping credit cards in a different location than where your PC is located, use QuickBooks Merchant Service for Terminals. A terminal is connected to a phone or Internet line and allows users to swipe cards. Most terminals include a PIN pad which allows customers to pay with debit cards using their PIN. Merchants can transfer transaction data to QuickBooks at the end of the day.
Do you have Internet access at the point of sale?
For stores and restaurants using a computer connected to the Internet to process credit card transactions at the point of sale, QuickBooks Merchant Service for PCs is the best solution. Important note:
- This computer must be the one that runs your QuickBooks.
- You will need to give QuickBooks access to employees who process credit card transactions.
- You will not be able to accept PIN debit transactions.

Do you assign credit card sales to specific customers in QuickBooks?
One difference between QuickBooks Merchant Service for PCs and QuickBooks Merchant Service for Terminals is the level of data that is stored in QuickBooks.
- QuickBooks Merchant Service for PCs allows the merchant to store the individual payment amount by customer in QuickBooks. This is because the credit card is generally processed right in the QuickBooks software as the merchant is entering payment data, to either the "Receive Payments" form or the "Sales Receipt" form. If the Virtual Terminal is used, the customer list is downloaded so that payment data can be assigned to specific customers.
- QuickBooks Merchant Service for Terminals on the other hand, batches the payment data to be uploaded into QuickBooks at the end of a sales shift. This solution is more appropriate for merchants who do not need to tie each payment to a specific customer account in QuickBooks.
